Make one calendar for the year
Record use-year dates, point expiration, reservation windows, any applicable banking or election deadline, and maintenance-fee timing. Check the rules for each account separately. Owners with multiple programs should not assume the same dates or restrictions apply to every balance.
Plan the vacations you want to keep
Identify family trips and important dates before allocating unused inventory. Consider destination flexibility and unit needs. Mark reservations already made and their cancellation conditions so a later change does not unexpectedly reduce your options.
Review what you may not use
Compare available inventory with realistic personal travel plans. Ask about management options early enough to evaluate availability, permitted use, and guest requirements. A possible rental is subject to eligibility and demand; it is not a guaranteed source of funds for maintenance fees.
Keep activity and proceeds understandable
Retain confirmations, management agreements, activity reports, and proceeds statements. Ask about unexplained reservations, adjustments, or payment timing. Contact the team before changing managed inventory and verify unexpected payment or account-access requests.
Your quick checklist

This guide is general information. Your ownership documents, club rules, reservation terms, and signed management agreement control the available options. Rentals and owner proceeds are not guaranteed.
